Description:

Provides administrative support and overall coordination of Sales & Marketing Training. Assists in administrative capacity in various training and projects. Coordinates, schedules, sets-up, deploys, continuously improves, optimizes, advertises, and documents sales and marketing training.

Duties & Responsibilities:

  • Coordinates and schedules Sales and Marketing training calendar and logistics. Publishes combined calendar for all training. Schedules rooms & ensures facilitators are identified and scheduled. Confirms external facilitators, when applicable. Coordinates agendas, logistics and travel for all training events, including at times international and national meetings. Prepares material for sessions, ensuring adequate inventory of material and/or copying material. Coordinates external vendors, working with members of the Sales and Marketing Training Team. Organizes set up of training room, including material, working with Sales and Marketing Training Team and/or external facilitators and/or IT. Contacts facilities maintenance for training room set up.

  • Coordinate and support current and new training initiatives during the development and implementation stages serving in a team environment with the training staff. Including creative input for developing content and learning manuals.

  • Update and maintain the training portal (web pages) seeking input for content from training staff.

  • Partners with Sales and Marketing Training Team to identify pre-work/post course follow up for sessions.

  • Administers related systems and processes that prepare, track and follow up with learners before, during, and after courses.

  • Sets up new users into various systems (e.g. Brainshark, SLII, Inside Out)

  • Trains users as requested

  • Support classroom training events at times, including on site coordination and set up, leading small groups activities, develop some basic facilitation skills.

  • Acts as a LMS administrator, working closely with the LMS site administrator to record training, upload new training content, and testing.

  • Partners with LMS site administrator to identify employees who need curricula assigned.

  • Collaborates with LMS site administrator to link evaluations to sessions and document training.

  • Work with LMS site administrator to ensure all training has an item created in the LMS and Training is documented.

  • Is qualified to maintain training records, upload new training content and testing.

  • Performs a variety of administrative tasks including all departmental administrative and general clerical activities. Such tasks include mail disbursement, phone calls, maintenance of calendars and scheduling meetings (as assigned), meeting agenda preparation, meeting minutes, supply inventory, travel & expense report execution, purchase orders and arrangements for departmental visitors/new hires to BIVI. May provide administrative support to individuals as needed, even outside of immediate team.

  • Using word processing, spreadsheets, graphics software, electronic mail, and document transfer systems; prepare and modify a broad scope of confidential documents, presentations, and correspondence.

  • Works with other departments to resolve identified administrative issues and within the Administrative Assistant Team at BIVI.

Requirements:

  • Professional training or Diploma degree

  • Minimum two (2) years’ experience in administrative/coordination capacity supporting multiple divisions.

  • Associates degree in administrative/coordination related field preferred.

  • Ability to multi-task

  • Knowledge of standard office procedures, operating processes, scheduling, coordinating activities, and computer systems.

  • Ability to schedule and plan assignments promptly according to deadlines.

  • Demonstrated Attention to Detail, Accuracy, Planning & Organization, Teamwork & Collaboration, Influence, and Delivering Results.

  • Ability to multi-task with flexibility and accuracy between multiple projects

  • Knowledge of GMP and/or regulated industry preferred.

  • Demonstrated professional verbal and written communication skills across diverse workforce.

  • Demonstrated knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar

  • Demonstrated computer skills, specifically with Microsoft products; prefer experience using a learning management system.

  • Extended hours at a computer screen. Must be able to read electronic documents of all types.

  • Overtime may be required and where possible, adequate notice will be given.

  • Physical Demands / Surroundings :

  • Occasional lifting, carrying, pushing and/or pulling up to 25 pounds frequently and 50 pounds occasionally

  • Requires long periods of sitting working on computer. Infrequently requires standing, walking or climbing stairs or ladders, balancing, bending/stooping, crouching/squatting, Twisting/spinal rotation, or grasping.

  • Occasional above the shoulder work, low level work, fine finger dexterity, or pinching required.

  • Requires very frequent writing and/or use of a computer key board

  • Visual / Hearing Demands : Color vision and depth perception are required. Extended hours viewing a computer screen.

  • Demonstrated high ethical and professional standards

  • Performs all Company business in accordance with all regulations (e.g., EEO, FDA, etc.) and Company policy and procedures. When violations are noted/observed they are to be immediately reported to management. Demonstrates high ethical and professional standards with all business contacts in order to maintain BIVI's excellent reputation within the animal health community and internally.
